Refund Policy

Effective date: January 1, 2026

Dendrites Technologies Co. stands behind its products. This policy explains when refunds are available across our three products: ServiceOrbit, CallWise AI, and Axiom AI Chat.

1. Free Trials

CallWise AI offers a 7-day free trial. Axiom AI Chat offers a 14-day free trial. No credit card is charged during the trial period for Axiom AI Chat plans. You can cancel at any time during the trial without charge.

2. Monthly Subscriptions

Monthly subscriptions to CallWise AI and Axiom AI Chat are billed in advance for the upcoming month. Monthly subscription fees are non-refundable once the billing period has begun. You may cancel at any time; cancellation takes effect at the end of the current billing period, and you retain access until then.

3. Annual Subscriptions

If you purchase an annual plan and request a refund within 14 days of the initial charge, we will issue a full refund. After 14 days, annual subscriptions are non-refundable.

4. ServiceOrbit (Enterprise)

ServiceOrbit contracts are governed by the specific Master Service Agreement (MSA) or order form you signed. Refunds, cancellations, and early termination terms are as defined in your signed agreement.

5. Usage Overages

Charges for usage that exceeds your plan's included allotment (conversations, call minutes, etc.) are non-refundable once incurred. To avoid overage charges, upgrade your plan or set usage alerts in your portal.

6. One-time Services

Integration services, onboarding assistance, and custom work are quoted individually. Refund terms are stated on the service order. Once work has begun, fees are non-refundable.

7. Exceptions

We may, at our sole discretion, issue a full or partial refund outside these standard terms in cases of:

• Prolonged service outage attributable to us (more than 72 consecutive hours).
• Duplicate or erroneous charges.
• Material service defects we are unable to resolve within a reasonable time.

8. How to Request a Refund

Email [email protected] from the email address on the account. Include the order/invoice number and a brief explanation. We aim to respond within 5 business days.

9. Payment Processor Refunds

Approved refunds are issued back to the original payment method via Stripe within 7-10 business days. Your bank may take additional time to reflect the credit.

10. Chargebacks

Please contact us before initiating a chargeback. Chargebacks filed without prior contact may result in immediate account suspension.
