Half the advising queue
is the catalog.
Prerequisites, add/drop dates, credit counts, aid eligibility rules, petition processes. Advisors answer these hundreds of times a term, and every one of them is already written down. AxiomAI answers them from the catalog, cites the page, and leaves your advisors the conversations that actually need a person.
WHAT IT ANSWERS, AND WHAT IT DOES NOT
Two kinds of advising question. Only one of them is safe today.
Vendors tend to sell “AI advising” as one thing, which quietly implies the assistant can see student records. Ours cannot, by design — and that is why it can go live this term instead of after an integration project.
Catalog advising
Answered from your published catalog, academic calendar, handbook and policy pages. No student records, no SIS connection, no login.
- What are the prerequisites for BIOL 240?
- When does add/drop close this term?
- How many credits do I need for the associate degree in nursing?
- What is the policy for repeating a course I failed?
- How do I petition to substitute a course requirement?
- What GPA do I need to keep my aid?
- When is the tutoring center open during finals?
- ¿Cuándo es la fecha límite para matricularse?
Record advising
Anything about this specific student. Requires authenticated access to education records, an SIS integration, and your institution’s own review. We will scope it; we will not pretend it is included.
- Am I on track to graduate in the spring?
- What is my current account balance?
- Which of my transfer credits were accepted?
- Did my financial aid disburse yet?
Asked one of these, the assistant says it cannot see student records and routes the student to the advising office — rather than guessing.
WHAT KEEPS IT SAFE
An advising assistant fails differently than a sales chatbot.
A wrong answer here is not a lost lead — it is a student who missed a withdrawal deadline or took the wrong prerequisite. The guardrails are sized for that.
It says when it does not know
When the catalog does not support an answer, the assistant says so and offers a human — it does not approximate a deadline, a fee, or a graduation requirement. Wrong answers about registration dates cost students a term.
It masks what students overshare
Students paste student IDs, dates of birth and occasionally an SSN into a public chat box. Those values are swapped for typed tokens before the request reaches a model provider and scrubbed from the reply, with every decision recorded in a hash-chained audit trail.
It is not a counselor
Mental-health, conduct, disability accommodation and Title IX questions route to the human office that owns them, every time. An assistant answering the academic calendar has no business improvising on any of those.
It shows its source
Every answer names the catalog page or PDF page it came from, so a student can verify it and an advisor can correct the source rather than argue with a chatbot.
The masking and audit behavior is the same governance layer that runs in every AxiomAI workspace — see how it works.
